What is ERP? A guide for growing businesses
Enterprise Resource Planning explained in plain English — what an ERP system does, how it helps, what it costs and how to choose the right one for your business in Kenya or anywhere in Africa.
What is an ERP system?
ERP (Enterprise Resource Planning) is business software that brings all of a company’s core functions — finance and accounting, inventory, sales, purchasing, human resources and payroll, customer management, production and reporting — into one system with one shared database.
Instead of a separate app for each department and spreadsheets in between, everyone works from the same live information. When a salesperson makes a sale, the stock, the customer’s account and the company’s books all update at once.
How ERP works
At the heart of every ERP is a single database. Each module — sales, inventory, accounting and so on — reads from and writes to that database. That is what makes an ERP different from a collection of separate tools:
- Enter once, use everywhere. A supplier invoice entered in purchasing is already in accounts payable and stock.
- Real-time visibility. Managers see today’s sales, stock and cash, not last month’s.
- Controls built in. Approval workflows and role-based access decide who can do what.
- Consistent reporting. Every branch and department reports the same way, from the same data.
Common ERP modules
Most ERP systems are made up of modules you can switch on as you need them. BiznaERP includes:
- Accounting & Finance — Real-time books, invoicing, budgets and financial statements — generated from your daily transactions.
- Inventory & Warehouse — Live stock levels across every store and warehouse, with reorder points and full stock movement history.
- Sales, Invoicing & POS — Quotations, orders, invoices and a fast point of sale that updates stock and accounts as you sell.
- Purchasing & Suppliers — Purchase requests, approvals, purchase orders and supplier bills in one controlled workflow.
- HR & Payroll — Staff records, attendance, leave, payroll and performance, connected to your accounts.
- CRM & Customer Portal — Leads, contacts, sales pipelines and follow-ups — plus a customer app through OneAccessApp.
- Manufacturing & Production — Bills of materials, production orders and true product costing for manufacturers and processors.
- Asset Tracking — A register of equipment, vehicles and property with assignment, maintenance and depreciation.
- Reports & Analytics — Dashboards with live KPIs, drill-down reports and exports for every department.
Signs your business needs an ERP
- Your team types the same information into several systems or spreadsheets.
- Your stock records rarely match what is physically on the shelf.
- Month-end reports take days to put together — and people still argue about the numbers.
- You have opened, or plan to open, more branches and cannot see them all in one place.
- Spending happens without clear approvals.
- You cannot easily answer “which products, customers or branches actually make money?”
If two or more of these sound familiar, an ERP will almost certainly save you time and money.
ERP vs accounting software
| Accounting software | ERP (e.g. BiznaERP) | |
|---|---|---|
| Main job | Records financial transactions | Runs the whole business and records the finances automatically |
| Inventory | Basic or none | Multi-branch stock, reorder points, batches and valuation |
| Sales & POS | Invoices only | Quotations, orders, POS, credit control and CRM |
| HR & payroll | Usually a separate system | Built in and posted to the accounts |
| Approvals | Limited | Custom workflows across departments |
| Reporting | Financial reports | Financial and operational dashboards for every department |
Cloud ERP vs on-premise ERP
On-premise ERP is installed on servers in your office. It usually means a large upfront licence, server hardware, an IT team to maintain it, and access limited to the office network.
Cloud ERP, like BiznaERP, is hosted for you and used through a web browser or phone. You pay a predictable subscription, updates and backups are handled for you, and your team can work from any branch, site or home. For most small and medium businesses in Africa, cloud ERP is faster to start, cheaper to run and easier to grow. See what makes BiznaERP an affordable ERP.
How to choose an ERP for your business
- Fit for your industry. Can it be configured for how your sector works — retail, manufacturing, hospitality, schools, NGOs?
- Start small, grow later. Can you begin with a few modules and add more without changing systems?
- Local support. Is there a team in your time zone who understands your market and answers on WhatsApp and phone?
- Local payments and communication. Does it handle mobile money, SMS and WhatsApp the way your customers use them?
- Total cost. Look beyond the licence: servers, implementation, training and upgrades all add up.
- Ease of use. Your team must actually use it. Ask for a demo with your own scenarios.
- Data security. Role-based access, audit trails and regular backups are essential.
How ERP implementation works
With BiznaERP, implementation follows three steps:
- Book a demo. See BiznaERP live and walk us through how your business runs today.
- We configure. We set up the modules, workflows, branches and reports your business needs, and migrate your data.
- Go live. Your team is trained and goes live, with ongoing support on WhatsApp, phone and email.

Frequently asked questions
What does ERP stand for?
ERP stands for Enterprise Resource Planning. It is software that manages a business’s core processes — finance, inventory, sales, purchasing, HR and more — in one shared system.
Is ERP only for large companies?
No. Cloud ERP systems like BiznaERP are affordable for small and medium businesses. You can start with a few modules and grow into more.
What is the difference between ERP and accounting software?
Accounting software records financial transactions. An ERP runs the operations that create those transactions — sales, stock, purchasing, production, payroll — and posts them to the accounts automatically.
How long does an ERP implementation take?
For a small business with a few modules it can take days. Larger, multi-branch implementations are usually rolled out in phases over several weeks.
How much does an ERP cost in Kenya?
Costs vary widely. Traditional on-premise ERP can cost millions of shillings in licences and servers. Cloud ERP like BiznaERP is paid as an affordable subscription based on the modules and users you need — request a quote for your exact price.
